Microsoft handles all that, right?<\/p>\n<p>Actually, no.<\/p>\n<p>When it comes to data, the\u00a0<strong>onus is on the business<\/strong>.<\/p>\n<p>Before we begin, let\u2019s start with some of the basics:<\/p>\n<\/div>\n<div id=\"what-is-microsoft-365\">\n<h3>What is Microsoft 365?<\/h3>\n<p>The Microsoft 365 application suite has become the\u00a0<strong>standard platform<\/strong>\u00a0for millions of business users worldwide.<\/p>\n<p>With its familiar line-up of Outlook, Word, PowerPoint, Excel, plus the collaboration platforms Teams, SharePoint and OneDrive, Microsoft 365 is most workers\u2019\u00a0<strong>go-to software<\/strong>\u00a0for everyday work tasks.<\/p>\n<p>It\u2019s no exaggeration to say that\u00a0<strong>Microsoft 365<\/strong>\u00a0is the engine of productivity for many firms today.<\/p>\n<\/div>\n<div id=\"what-is-office-365\">\n<h3>What is Office 365?<\/h3>\n<p>Office 365 is a\u00a0<strong>cloud-based suite of productivity apps<\/strong>, which runs alongside other business tools within Microsoft 365.<\/p>\n<p>All Microsoft 365 users also have access to Office 365.<\/p>\n<p>As announced by Microsoft on 21st April 2020,\u00a0<a title=\"Office 365 is now Microsoft 365\" href=\"https:\/\/acora.one\/news\/article\/office-365-will-be-microsoft-365\" target=\"_blank\" rel=\"noopener\">Office 365 is now Microsoft 365<\/a>.<\/p>\n<\/div>\n<div id=\"what-is-a-backup\">\n<h3>What is a backup?<\/h3>\n<p>A backup is basically a\u00a0<strong>copy of a computer file<\/strong>\u00a0that you make and keep as a\u00a0<strong>safeguard<\/strong>\u00a0against problems that might crop up in future, such as:<\/p>\n<ul>\n<li>Data being\u00a0<strong>lost or<\/strong>\u00a0<strong>corrupted<\/strong>\u00a0by a hardware failure or other technical problem<\/li>\n<li><strong>Accidental deletion<\/strong>, where someone bins a file without meaning to<\/li>\n<li><strong>Malicious damage<\/strong>\u00a0by a hacker, a cyber-criminal or even a disgruntled employee \u2013 or a program such as a worm, virus, malware or ransomware that gets into your system.<\/li>\n<\/ul>\n<\/div>\n<div id=\"how-do-backups-work\">\n<h3>How do backups work?<\/h3>\n<p>When you have a backup, you can\u00a0<strong>quickly and easily recover<\/strong>\u00a0an earlier version of your file and continue to work. At worst, you\u2019ll lose whatever changes had been made to the file since the time of the last backup.<\/p>\n<p><img decoding=\"async\" src=\"https:\/\/acora.one\/media\/3018\/data-backup-flow.png\" alt=\"Data backup flow from Computer Service Centre\" data-udi=\"umb:\/\/media\/f55259f292bd4f79a5a16d3b16f12285\" \/><\/p>\n<p>If you have multiple copies, made at different times, you can\u00a0<strong>step back in time<\/strong>\u00a0to a specific older version, effectively allowing you to\u00a0<strong>erase<\/strong>\u00a0or\u00a0<strong>undo<\/strong>\u00a0errors, or\u00a0<strong>skip<\/strong>\u00a0over corrupted versions until you reach a clean one.<\/p>\n<p>Without the backup, you have no option but to\u00a0<strong>recreate the file from scratch<\/strong>\u00a0as best you can \u2013 assuming you can recreate it at all.<\/p>\n<\/div>\n<div id=\"what-backup-do-i-need\">\n<h3>What backup do I need?<\/h3>\n<p>When it comes to setting up your backup, you need to consider two factors:<\/p>\n<p><strong>Recovery Point Objective (RPO)<\/strong><\/p>\n<p><strong>RPO <\/strong>is about\u00a0<strong>how often<\/strong>\u00a0you back up, and\u00a0<strong>how many<\/strong>\u00a0backups you keep. It determines which files, and which versions, get copied to your backup.<\/p>\n<p>The more\u00a0<strong>frequently<\/strong>\u00a0you back up, the more files and versions are caught in the net.<\/p>\n<div class=\"example\">\n<p>For example:<\/p>\n<p>Let\u2019s say your backup runs every Friday night. If you create a file on Tuesday, edit it on Wednesday and accidentally delete it on Thursday, it still\u00a0<strong>won\u2019t be<\/strong>\u00a0backed up.<\/p>\n<p>However, if you ran a\u00a0<strong>daily backup<\/strong>\u00a0you\u2019d have the<strong>\u00a0original version<\/strong>\u00a0from Tuesday and the\u00a0<strong>later version<\/strong> from Wednesday.<\/p>\n<\/div>\n<p><strong>Recovery Time Objective (RTO) <\/strong><\/p>\n<p><strong>RTO <\/strong>is about\u00a0<strong>how long<\/strong>\u00a0it takes to recover a file(s) when you need to.<\/p>\n<p>It takes\u00a0<strong>time<\/strong>\u00a0to locate the right version of a file and then restore it \u2013 particularly if it has to be transferred over the internet.<\/p>\n<p>In the meantime, you\u00a0<strong>can\u2019t work<\/strong>\u00a0on that file.<\/p>\n<p>In general, the shorter the recovery time, the better.<\/p>\n<p>&nbsp;<\/p>\n<\/div>\n<div id=\"data-protection-and-security\">\n<h3>Data Protection &amp; Security<\/h3>\n<p><em>\ud83d\udca1Did you know:<\/em><\/p>\n<div class=\"quote\"><em>Four in ten businesses (<strong>39%<\/strong>) and a quarter of charities (<strong>26%<\/strong>) report having\u00a0<strong>cyber security breaches<\/strong>\u00a0or\u00a0<strong>attacks<\/strong>\u00a0in the\u00a0<strong>last 12 months<\/strong><\/em><\/div>\n<p><em>That\u2019s according to the latest\u00a0<a title=\"Cyber Security Breaches Survey for 2021\" href=\"https:\/\/www.gov.uk\/government\/statistics\/cyber-security-breaches-survey-2021\/cyber-security-breaches-survey-2021\" target=\"_blank\" rel=\"noopener\">Cyber Security Breaches Survey for 2021<\/a>\u00a0from HM Government. It highlights the importance of\u00a0<strong>data protection<\/strong>\u00a0and\u00a0<strong>recovery<\/strong>.<\/em><\/p>\n<p><em>As a business owner,\u00a0<strong>data protection<\/strong>\u00a0and\u00a0<strong>security\u00a0<\/strong>should be paramount in 2021.<\/em><\/p>\n<p>&nbsp;<\/p>\n<\/div>\n<div id=\"what-are-your-data-backup-obligations-under-data-protection\">\n<h3>What are your data backup obligations under data protection?<\/h3>\n<p>Not only is your business\u2019\u00a0<strong>reputation at stake<\/strong>\u00a0but, more importantly, your\u00a0<strong>legal obligations<\/strong>\u00a0for your\u00a0<strong>employees<\/strong>\u00a0and\u00a0<strong>clients<\/strong>\u00a0under\u00a0<strong>data protection<\/strong>\u00a0legislation.<\/p>\n<p>You may be thinking how does this relate to\u00a0<strong>Office 365 backups<\/strong>?<\/p>\n<p>Let&#8217;s explain:<\/p>\n<p>Under\u00a0<a title=\"Article 66; Security of Processing\" href=\"https:\/\/www.legislation.gov.uk\/ukpga\/2018\/12\/section\/66\/enacted\" target=\"_blank\" rel=\"noopener\">Article 66; Security of Processing<\/a>\u00a0of the\u00a0<strong>Data Protection Act 2018<\/strong>, it states:<\/p>\n<p><em>(2) In the case of automated processing, each controller and each processor must, following an evaluation of the risks, implement measures designed to\u2014<\/em><\/p>\n<p><em>(c) ensure that any systems used in connection with the processing function properly and may, in the case of interruption,\u00a0<strong>be restored<\/strong>, and<\/em><\/p>\n<p><em>(d) ensure that\u00a0<strong>stored personal data cannot be corrupted<\/strong>\u00a0if a system is used in connection with the processing malfunctions.<\/em><\/p>\n<p>Keeping a\u00a0<strong>regular secure backup<\/strong>\u00a0and recovery system in place is vital to meeting this requirement.<\/p>\n<\/div>\n<div id=\"how-do-you-tackle-data-breaches\">\n<h3>How do you currently tackle data breaches?<\/h3>\n<p>Do you feel\u00a0<strong>100% confident<\/strong>\u00a0that you can tackle incoming cyber-attacks? reducing\u00a0<strong>hardware costs<\/strong>\u00a0too.<\/p>\n<\/div>\n<div id=\"what-problems-can-occur-with-cloud-storage\">\n<h3>What problems can occur with cloud storage?<\/h3>\n<p>With cloud storage, it\u2019s easy to fall into a complacent attitude of \u2018<strong>out of sight, out of mind<\/strong>\u2019.<\/p>\n<p>Now all your\u00a0<strong>data is online<\/strong>, it\u2019s no longer\u00a0<strong>at risk<\/strong>\u00a0if your local machine\u00a0<strong>breaks down<\/strong>.<\/p>\n<p>After all, you can\u00a0<strong>access it from anywhere<\/strong>, right?<\/p>\n<p>Great.<\/p>\n<p>What about your\u00a0<strong>cloud storage\u00a0<\/strong>provider?\u00a0Are they\u00a0<strong>backing up<\/strong>\u00a0your data?<\/p>\n<p>Not as much as you business:<\/p>\n<ul>\n<li>Data<\/li>\n<li>Devices<\/li>\n<li>Account<\/li>\n<li>Access management<\/li>\n<\/ul>\n<\/div>\n<div id=\"microsofts-responsibility\">\n<h3>Microsoft Responsibility<\/h3>\n<p>Microsoft is responsible for it\u2019s:<\/p>\n<ul>\n<li>Global infrastructure<\/li>\n<li>Commitment to keep its infrastructure up and running<\/li>\n<li>Uptime reliability and deliverability of its cloud service<\/li>\n<li>Productivity of its users<\/li>\n<\/ul>\n<\/div>\n<div id=\"does-office-365-meet-standards-on-data-retention\">\n<h3>Does Office\/Microsoft 355 meet the standards for data retention?<\/h3>\n<p>In short, they <strong>don\u2019t<\/strong>.<\/p>\n<p>Not in the way your\u00a0<strong>business needs<\/strong>\u00a0to meet its obligations.<\/p>\n<p>While Microsoft takes responsibility for making the cloud infrastructure available, plus some basic security and data replication,\u00a0<strong>your data remains your property<\/strong>.<\/p>\n<p>Microsoft makes\u00a0<strong>no guarantees<\/strong>\u00a0about its safety and security.<\/p>\n<p>You\u2019re responsible for\u00a0<strong>protecting your data<\/strong>\u00a0and making sure it\u2019s\u00a0<strong>backed up<\/strong>.<\/p>\n<p>If you rely on Microsoft 365 alone, you\u2019re laying yourself\u00a0<strong>open<\/strong>\u00a0<strong>to<\/strong>\u00a0a range of\u00a0<strong>threats<\/strong>.<\/p>\n<p>Microsoft 365 is by\u00a0<strong>no means immune<\/strong>\u00a0to the\u00a0<strong>security threats<\/strong>\u00a0mentioned above, and
